Scheduling Meetings Outside of Canvas - Part 2

The Zoom for Outlook add-in is installed at CCSF. When scheduling a new event or editing an existing event, you can easily add Zoom meeting details to calendar events within Outlook.

Like most calendar events in Outlook, make sure you have already decided on the following:

What your meeting topic will be
When you want to hold the meeting and for how long
Do you want this meeting to repeat or happen once?

Add/Edit a Zoom Meeting for an Outlook Calendar Event

Schedule a Meeting

These directions are for scheduling a Zoom meeting using Outlook on the web, not Outlook as a desktop app. For those directions, please refer to Zoom's documentation specific to your platform.

Open your Outlook web calendar and click New Event to create a new calendar event.
Enter meeting details like the date and time of the meeting, title, location, and guest list.
Click Zoom and then Add a Zoom Meeting.

Make sure to set the date and time of the calendar event before adding the Zoom meeting so that the Zoom Meeting is scheduled for the correct date and time. If you create the Zoom Meeting before setting the correct event date and time, the Zoom Meeting will get scheduled for the default date/time used for the new event, which can inadvertently cause the meeting to expire before the intended start date.

The option to add a Zoom meeting to an outlook event is located under Zoom in the top menu.

Sign into Zoom

You will be logged in automatically if you are already signed in to the Zoom web portal.
If you are not signed in, a popup will open requesting that you allow Zoom to open a new window. Click Allow.
The window that opens will ask you to log in with your Zoom credentials. Don't log in with your email and password. Instead, select the SSO option at the bottom.
For the domain name, enter ccsf-edu.
Sign in like normal through the RAMID portal.

Edit/Update Meeting

If any details, such as the date and time, change after you add the Zoom Meeting, open Zoom from the calendar event and click Settings. Click the Update option in the Zoom panel to sync the changes with the scheduled Zoom Meeting.

Calendar Event has Settings option under Zoom that allows you to update previously scheduled meetings.
