During and After Your Meeting with AI Companion Features

AI continues to be incorporated into new Zoom features, and we hope that the following articles will help you choose which capabilities, if any, you might want to use in your meetings at CCSF to better support yourself, your fellow employees, and students.

Zoom does not use any customer audio, video, chat, screen sharing, attachments, or other communications-like content (such as poll results, whiteboard and reactions) to train Zoom’s or third-party AI models.

Metting Summary

Meeting Summary allows meeting hosts to initiate an AI-generated summary of their meeting. When the host enables this feature in a meeting, participants may automatically receive a summary after the meeting ends, if the host chose to share it with them. Our students do not have a license, so the summary would need to be shared with them through email.

In-Meeting Questions

In-Meeting Questions allows meeting participants to ask questions about the content of the meeting thus far. Preset questions are provided, such as “Catch me up”, “Was my name mentioned?”, and “What are the action items?”, which can be useful for catching up when you join late or return after stepping away from the meeting. More specific custom questions are also possible, like “Was a date agreed on?” and “Was there a decision on the name?”. Meetings, as well as questions and responses, are supported in more than 30 languages.

Meeting Summary

Post Class/Office Hour Meeting Review: After a class or meeting, the AI Meeting Summary can automatically generate key takeaways, action items, and highlights. This is useful for participants who want a concise review of the session or for those who may have missed the class. Instructors can quickly edit and share the summary saving time on manually writing recaps or notes.

Streamlining Faculty, Committee, Workgroup Meetings: For administrative purposes, such as faculty meetings or collaborative meetings, the AI Meeting Summary can provide a detailed summary of discussions, decisions, and next steps. This allows participants to stay focused during the meeting, knowing that key points will be captured automatically, and ensures everyone has access to an accurate record of what was discussed without relying on manual note-taking. Host could also decide to only share with the minute taker to help that process of taking minutes take less time.

Smart Recording

Enhanced Accessibility for Students: The AI Smart Recording feature can automatically generate transcriptions of lectures or discussions, making content more accessible for students with hearing impairments or those who benefit from reading along as they listen. This allows all students to engage with the material more effectively, as they can refer back to the transcription for clarification or review.

Facilitating Review and Study: After a class or meeting, the AI Smart Recording can highlight key moments and provide a structured recap of the session. This is particularly useful for students preparing for exams or projects, as they can easily locate important discussions or concepts within the recording. The highlights allow students to quickly access the most relevant parts of the session, saving time and improving study efficiency.

In-Meeting Questions

Supporting Students or Employees Who Join Late or Need a Short Break: If a participant joins a class or meeting after it has already started, they can use the “Catch Me Up” phrase to receive a summary of what they missed. This ensures they can quickly get up to speed without disrupting the flow of the session or requiring the host to repeat information.

Encouraging Participation and Clarification: During a meeting, students who are uncertain about a topic can use phrases like “What did I miss?” or “Can you clarify that?” to prompt the AI for relevant information or context. This feature empowers students to take charge of their learning by seeking clarification on specific points, fostering a more interactive and inclusive classroom environment.
